ES. How has your service offering evolved to meet the changing demands of modern exhibitions and trade shows in India?

Amar Singh. Our services have grown over the years to match what today’s exhibitions and trade shows need. We started with event planning and on-ground execution. But over time, we saw that organizers need a partner who can handle everything—from start to finish. That’s why we now offer complete turnkey solutions.

This means we take care of:

  • On-ground execution with trained teams

Our goal is to make things easier for organizers and create a great experience for visitors by managing the entire process smoothly, end-to-end.

ES. Can you share an example of a large-scale event where your team played a crucial behind-the-scenes role? What were the key challenges and learnings?

Amar Singh. One such example is our team’s critical behind-the-scenes involvement in India Energy Week 2025, one of the largest Ministry of Petroleum & Natural Gas exhibitions in Asia. The event spanned an enormous 1,00,000 sq. meters of gross area and included a wide array of components: expansive exhibition halls, 5–6 high-level conference rooms, a delegates’ lunch area for 5,000 people, an inauguration hall for 3,000 attendees, an executive club for VIPs & VVIPs, and a gala dinner complete with entertainment and high-end hospitality.

While our work remained largely backstage, it was critical to the success of the event. Our responsibilities spanned across on-ground deployment, infrastructure coordination, vendor management, power supply assurance, safety compliance, and crowd flow control (Visitors & VIP)—all essential elements that kept the event running seamlessly.

Key Challenges:

  • High-Security Operations: The event was held in a high-security zone, necessitating continuous collaboration with multiple government and service agencies, which added complexity to logistics and movement.
  • Last-Minute Changes: Frequent changes in layout and protocol, combined with tight timelines, tested our ability to adapt swiftly without disrupting the overall setup.
  • Weather Uncertainty: Managing unpredictable weather conditions while maintaining uninterrupted services was another major operational challenge.

Key Learnings:

  • Pre-Event Simulations & Contingency Planning proved invaluable in anticipating and mitigating risks.
  • Clear communication channels among stakeholders — including government bodies, vendors, and international participants — were instrumental in smooth execution.
  • Most importantly, the experience reinforced the fact that flawless backend operations are the true enablers of a seamless front-end experience.

Our team’s agility, proactive problem-solving, and synchronized coordination were highly appreciated byboth the organisers and international dignitaries. It was a proud moment that showcased the value of strong backend execution in delivering a world-class event experience.
